Duties and Responsibilities – Conference Registration Assistant (CRIC23)

Notification:

  • Draft and send notification letters to Parties.
  • Proofread and translate standard communications.
  • Update distribution lists and disseminate documents globally.
  • Track and follow up on receipt of notifications.

Registration & Accreditation:

  • Respond to registration/accreditation queries.
  • Approve participant registrations via Indico system.
  • Update and verify delegate data.
  • Assist with participant list updates and corrections.
  • Help train and guide local registration staff.
  • Support registration desk during meetings (welcoming, badging, accrediting).

Travel (for Funded Participants):

  • Monitor nominations and respond to travel-related queries.
  • Help gather participant data (passport, bank details, etc.) for UMOJA.
  • Coordinate with travel unit for bookings and DSA payments.
  • Follow up on late nominations and itinerary confirmations.

Visa Support:

  • Maintain database of visa-related diplomatic missions.
  • Provide visa process guidance to participants.
  • Liaise with host country on visa matters.
  • Prepare invitation letters to assist in visa issuance.

Administrative Support:

  • Prepare status reports on participation logistics.
  • File and organize nominations, funding and accreditation documents.
  • Maintain both digital and paper filing systems.
  • Perform other related administrative tasks as needed.

Qualifications/special skills

– Secondary school education supplemented by secretarial or equivalent school courses. – Some previous secretarial experience is required. – Previous experience in a United Nations organization is an asset.

Languages

– Fluency in English is required and good working knowledge (both oral and written) in other UN official language (French/Spanish/Arabic/Russian) is an advantage.

Additional Information

Only individuals who can act as independent, individual economical operators are qualified to apply. Individuals who can provide their services only on account of an institution or enterprise are not eligible under this procedure.

Individuals engaged under a consultancy or individual contract will not be considered “staff members” under the Staff Regulations and Rules of the United Nations Secretariat and will not be entitled to benefits provided therein (such as leave entitlements and medical insurance coverage).

Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants and Individual Contractors. Consultant and individual contractor is responsible for determining tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.

For remote consultancies, the selected candidate will be required to have a laptop or desktop PC (with Windows 10 or newer) or Mac (with the latest MacOS update), as well as a reliable, high-speed internet connection. An Office 365 license will be provided by the UNCCD to enable the candidate to access official emails, SharePoint, OneDrive and other office applications, such as Word and Excel.
