FAO Hiring Administrative Assistant In Rabat, Morocco | 6 Month Assignment

FAO Hiring Administrative Assistant: The Food and Agriculture Organization of the United Nations (FAO) has announced an exciting opportunity for qualified professionals to join its country office in Rabat, Morocco, as an Administrative Assistant.

This six-month temporary assignment (PSA – Personal Services Agreement) offers a chance to contribute to FAO’s vital mission of ensuring food security, combating hunger and malnutrition, and promoting sustainable development in agriculture, forestry, and fisheries.

Organizational Context

The FAO Representation in Morocco operates under the leadership of the FAO Representative. Its primary mission is to support the Government of Morocco in developing policies, programs, and projects aimed at:

  • Enhancing food security and nutrition,
  • Promoting sustainable agricultural, forestry, and fisheries development,
  • Ensuring the sustainable management of natural resources and the environment.

The Administrative Assistant will play a central role in supporting the smooth operation of the office, contributing to the effective management of resources, and facilitating day-to-day administrative processes.

Reporting Lines

The Administrative Assistant will work under the overall guidance of the FAO Representative in Morocco and report directly to the Assistant FAOR (Administration). While supervision will focus on the quality of outcomes, the selected candidate is expected to perform with independence, initiative, and sound judgment.

Duties and Responsibilities

The Administrative Assistant will coordinate and carry out a wide range of administrative, financial, and operational support tasks. Key responsibilities include:

  • Maintaining and organizing financial records related to the office budget and project expenditures.
  • Preparing payment files, including invoices, delivery notes, and purchase orders.
  • Drafting and dispatching administrative and financial correspondence.
  • Processing payments in FAO’s GRMS system and preparing bank transfer orders.
  • Managing correspondence and liaising with FAO headquarters and external partners.
  • Coordinating with banks and overseeing administrative financial transactions when required.
  • Ensuring efficient filing systems for administrative and financial documents.
  • Supporting staff, experts, and consultants with administrative requirements, including recruitment documentation and security clearances.
  • Monitoring the monthly use and maintenance of office vehicles, including fuel tracking.
  • Managing VAT refund requests and follow-up with suppliers and relevant ministries.
  • Updating and maintaining office inventory records in FAO’s COIN system, ensuring accountability for assets and equipment.
  • Assisting in personnel and equipment administration tasks.
  • Carrying out any additional duties assigned by the supervisor.

This wide-ranging role requires both precision and adaptability, ensuring that FAO’s operations in Morocco run smoothly and efficiently.

Minimum Requirements

To be considered for the position, applicants must meet the following minimum criteria:

  • A university degree in Administration, Economics, Finance, or Management.
  • At least one year of professional experience in administration, finance, or office management.
  • Proficiency in French and Arabic (Level C).
  • Moroccan nationality or valid residency with a work permit.
